Thank you for your interest in nominating a member to serve on the 2010/2011 Rotaract Board. Fill out the form below to make your nominations. All prospective board members are encouraged to contact the current board members for additional information and insight to the duties for each position. Please contact Virginia Quigley for more information.

The last day to submit nominations will be Monday, January 25, 2010. Each member that is nominated will be:

Interviewed by the Board Selection Committee.
Required to present/discuss 3 goals for the upcoming year—specific to the position in which nominated for.

President

The president shall preside at all regular and special meetings of the club and the board of directors. The president shall, with the approval of the board, appoint all standing and special committees and, in the event of a vacancy in the board of directors, shall, with the approval of the board, fill such vacancy by appointment until the next regular election of the club. The president shall be an ex officio member of all committees. The president shall maintain communication with the sponsor club and the district Rotaract representative to ensure they are continually informed of all actions taken by the club. The president shall deliver an annual state of the club address to the club’s membership and to the Birmingham Rotary Club’s Board of Directors. Upon completion of a term, the president shall serve as immediate past president of the club for one year immediately following the term.

Duties Include:

· Developing annual work plan and goal setting

· Review and maintain all financial controls for the club

· Maintain relationship with Rotary Club and District Governor

Additional Requirements:

· Must demonstrate leadership capability and experience.

· Must have prior experience serving on a Rotaract Board.

· Will be required to present a vision and 3 goals for the Rotaract Club for the upcoming year.

· Presentation during interview- Power Point, Calendar, Timeline, etc. (candidate’s choice).

Vice-President

The vice-president shall succeed to the office of president in the event that the president is removed from office, or in the event that the president is otherwise unable to discharge his duties. The vice-president shall fill the vacancy until the president is capable of resuming all duties, or until an election is held. In the absence of the president, the vice-president shall preside at all meetings of the club and of the board. The vice-president shall assist all directors in the organization of their committees and in establishing and following through on annual goals. The vice-president shall be an ex officio member of all committees. When deemed necessary by the members of the board of directors or other members of the club, the vice-president will review the bylaws and put forth a proposal for an amendment(s) to be voted on by a club majority. The vice-president shall assist in maintaining communication with the sponsor club and the district Rotaract representative to ensure they are continually informed of all actions taken by the club.

Duties Include:

Assist President in developing strategic plan for the year that will guide the Club
Assist President in ensuring each director is doing his/her respective part to accomplish goals outlined in strategic plan
Assist all directors in the organization of their committees
Assist all directors in ensuring each committee accomplishes it’s respective goals
Maintain communication with the sponsor club and the district Rotaract representative

Treasurer

The Treasurer shall be responsible for overseeing the operational cash flow and budget of the Club. Specifically, these duties will include all revenue (Membership Dues) and expenditures (Operational Expenses) that are required for the day to day operation of the Club. The Treasurer shall have custody of all club funds, maintaining all necessary records and depositing all such funds in a bank approved by the board of directors. The Treasurer shall report on the club's financial status at each meeting of the Board of Directors and shall hold all records available for inspection by any club member. The Treasurer shall chair the Finance and Fundraising Committees and work directly with the President in ensuring the Club's financial liquidity and integrity remains in a position of strength that is necessary to meet the Club's goals and obligations..

Duties Include:

Handling membership dues and operational expenses for the Club and the Foundation
Maintaining Club/Foundation financial records and depositing and disbursing funds as necessary
Recommending and monitoring annual budgets for each function of the Board/Club operations
Maintaining electronic funds (I.e. via PayPal account(s))

Preferred:

Prior experience serving on the Rotaract Treasurer Committee.
Finance / Accounting background.

Service Chair

The Service Chair presides over the activities of International Service, Community Service and Signature Service for Rotaract. This entails establishing a meeting schedule with the committees of each division and creating a strategy to guide activity for the year. The Service Chair is responsible for ensuring that Rotaract hosts a series of activities and programs that reflect involvement in Community Service, International Service and Signature Service.

Duties Include:

· Provide bi-weekly status updates to the board.

· Convene committee meetings to discuss project activity.

· Draft activity reports to be included in newsletters.

· Develop ways to involve members in project activities.

Programs Director

The Programs Director shall oversee the selection of speakers for the luncheon meetings, as well as plan any additional programming events for the club outside of regular meetings. The Programs Director shall appoint and chair the Programs Committee, which shall assist the Programs Director in carrying out his or her duties.

Duties Include:

Selecting speakers for the bi-monthly lunch meetings.
Planning of any additional programming events for the Club outside of regular meetings.
Coordinating logistics for any bi monthly meetings off the Harbert Center site
Managing speaker-related tasks

Membership Development Director

The Director of Membership Development is responsible for getting Rotaract members, new and old, involved in the planning and organization of club events. The Membership Development Director also serves as the sounding board in which members can provide feedback and ideas for the benefit of the board and the Club as a whole.

Duties Include:

Introducing and incorporating new members including formal introduction, orientation, and committee assignment
Encouraging membership feedback and opinions through club-wide surveys
Maintaining the official club membership roster
Coordinating membership sign-up table and nametags for Rotaract luncheons
Coordinating member involvement through committee assignments
Facilitating relationship and activities with the Downtown Rotary Club

Social Director
The social director shall be responsible for establishing a calendar of social events in collaboration with his or her committee including the Gala. Outside of the Gala you will be responsible for planing at least 10 events throughout the year all staying within the budget as discussed with the Treasurer. It is very important for the social director to have open communication with the Communication Director and Treasurer. At the beginning of the year the social director should get with the communication director and discuss the most efficient way to capture as many members and potential members via evite, newsletter, etc. In preparation for the Gala he or she should get with the service director in order that the Gala theme fit in with the overall signature service project that the club has established for the year. The most important issues are: communicating with members, establishing a theme, and staying within budget.

Duties include:

Establishing a calendar of social events outside the Gala
Communicating with treasurer and staying within budget
Working with communications director on most efficient ways to capture as many members to social events
Designing a working plan for the Gala

Membership Recruitment

The Membership Recruitment Director is responsible for overseeing the entire membership recruitment process. It is important that the Membership Recruitment Director has a good overall idea of the professions of existing members in the club so he/she can recruit from industries that are not well represented. Although gathering all of the information for the application packages can be time consuming, this position allows the opportunity to be involved and meet all of Rotaract's upcoming members!

Duties include:

Attending as many functions of the club as possible (luncheons, socials, etc.) to meet guests.
Following up with guests with application information.
Verifying that all needed information is included on applications once received.
Develop and implement strategies to proactively recruit the best in Birmingham's young professional community.

Communications

Communications Director:

The Communications Director works to represent the club to external media with positive and consistent coverage and delivers internal communications to club members to ensure members are up to date on club activities.

Internal Duties:

Manage all club email communication.
Manage and develop club newsletter.
Keep Board meeting minutes.
Communicate with Rotary groups about Rotaract
Work with other Board members on what they need communicated to club.
Manage and update club website

External Duties:

Work to represent Rotaract in the media with positive, consistent coverage.
Work between club members and the media on news coverage – finding club reps for interviews etc.
Work with other Board members for story ideas to pitch to media
